Once sessions begin filling up, you can manage all scheduling activity directly from the Sessions tab in your moderated study. This view lets you monitor sessions, update participant statuses, and make any schedule adjustments.
Viewing and Updating Session Status
Each scheduled session includes participant details, meeting time, and current status. When a session is finished, select Mark as Completed to confirm it took place successfully.
If a participant does not attend, mark the session as No Show. Updating these statuses ensures accurate session tracking and incentive payouts.
Rescheduling a Session
In moderated research, unexpected changes can happen for you or your participants. When a reschedule is needed, clear communication is key.
Participants can use the Reschedule or Cancel options included in their confirmation email to select another available time based on your set availability. If you need to adjust the schedule yourself, reach out to the participant directly to coordinate a new time that works for both sides.
If a participant or moderator needs to change the time, you can easily reschedule:
Go to the Sessions tab.
Locate the participant you want to reschedule, and toggle the additional menu.
Click Reschedule and select a new available slot.
Once rescheduled, both you and the participant will receive an updated confirmation email reflecting the new time and meeting link.
Marking a Session Complete
When a participant attends and the session is finished, make sure to mark it as Completed. All completed sessions will appear under the Completed tab for easy tracking and reference.
- Please note that if you recruited participants using Hubble's Respondent or User Interview's integration, you need to also mark participants complete in the recruitment project specifically to automatically process incentive or gratuity.
